5 accounting firm tasks you can automate with AI

AI can help an accounting firm extract invoice data, sort email, prepare reminders and draft replies. Start with a frequent task and decide who reviews the output. Accounting judgement, tax decisions and filings remain with the firm.

This guide describes five possible scopes and a way to measure them. They are design examples, not client results or a promise of savings. Explore the scope of AI implementation for tax and accounting firms alongside this guide.

1. Capture invoices without typing

Clients send invoices as PDFs, photos or emails. A document-reading tool extracts supplier, date, taxable amount and VAT and prepares them for the accounting software. Your team moves from typing to reviewing.

Before import, check required fields, totals and possible duplicates. Incomplete extraction should create an exception. Preserve the original and agree the output format with your accounting software. Our invoice automation service explains this workflow and its limits.

2. Chase missing paperwork

A workflow can check the outstanding-document list and prepare a reminder for each client. The list needs to distinguish received, reviewed and missing documents. Agree the channel, frequency and sending conditions to prevent duplicate reminders or requests for paperwork already supplied.

3. Sort incoming email

AI can suggest a category and owner for each message. Start with clear categories such as invoice, general enquiry and communication requiring priority review. Ambiguous messages should remain pending rather than disappearing into an unmonitored folder. Check a sample against the team’s own classification.

4. Draft replies

For recurring enquiries, an assistant can search the firm’s internal criteria and documents and prepare a draft with references. The advisor reviews and sends it. Missing client information or an answer absent from the sources should be flagged. Fluent writing does not establish that the underlying judgement is correct.

5. Summarise new regulations

A workflow can detect a publication in an agreed source, link to the original and prepare a summary for review. Identifying affected clients requires the firm’s data and criteria; a headline alone is insufficient. Retain the link to Spain’s Official State Gazette so staff can check the source.

Which task should you choose first?

Choose a repeated process with an outcome you can check. These questions help define it:

Question Invoice intake example
Where does it start? An invoice arrives in a specified mailbox
Which data is needed? Supplier, number, date, taxable amount, VAT and total
Who reviews it? The person responsible for accounting
What happens on failure? The document enters an exception queue
When is it complete? A reviewed record is ready for import

If there is no reliable input or responsible reviewer, clarify the process first. If your software already handles the task, test its existing feature before building another integration.

How to calculate initial implementation savings

Measure human handling time before and after, including review and corrections. Use documents of comparable complexity and record pending exceptions.

Hypothetical example: a firm processes 120 invoices a month. Manual entry and review take 4 minutes each: 480 minutes, or 8 hours. In a trial, workflow review takes 2 minutes per invoice, with another hour spent on exceptions. Total work becomes 5 hours, a difference of 3 hours per month.

This illustrates the calculation only. It is not an industry average or a Rindeia result. Also compare software, maintenance and implementation costs. Faster extraction does not compensate for an increase in errors.

What AI should not do on its own

File tax returns, decide tax positions or answer a tax authority notice. For anything with financial or legal consequences, AI prepares and a person decides.

How to start

Prepare representative documents, frequent errors and the receiving software’s import requirements. Agree scope, human review and a manual fallback if a connection fails. Process automation connects these steps with controls and an issue log.
